Choosing the right adventures

Your responsibility: On The Loose is distinctive in that we offer quality adventures with a full range: from mild to technical, and from easy to challenging. We want you to have an experience that best matches your interests, spirit, and the level of challenge you seek. Please consider the level of fitness and descriptions of accommodations associated with each expedition. It is your responsibility to select a trip that suits your ability, fitness level and state of health. We are happy to assist you in assessing the expectations and pace of any trip. You will be asked to provide OTL with basic medical information prior to departure, as well as arrive with appropriate clothing and gear (we will send you detailed lists and suggestions for preparation when we receive your deposit and application). OTL reserves the right to make final decisions regarding suitability of personal equipment and clientıs capacity to participate in activities.

Levels of Fitness:
EASY- Varied terrain with little or no weight to carry. Regular exercise and stretching advised. Come with your sense of adventure!
MODERATE- Anyone in good physical condition. Those who are fit will have energy to do more! May include carrying a full pack.
CHALLENGING- Travel may involve strenuous climbing or skiing. Participants must be in strong physical condition. Carry full pack weight.

Registration Information

Plan Early!:
We'd love to have you join us! As you all are spreading the word about On The Loose, our trips are filling sooner every year. We strongly recommend that you contact us with ample timing before the start of your trip for reservations. We suggest at least 2 months in advance for weekend trips, and at least 5 months in advance for week-long and extended trips. Planning early also helps ensure that you get the most
competitive airline rates.

Registration: To reserve a space on a trip, please fill out the enclosed application, sign the back and send it with a deposit of $100.00 (weekends) or $250.00 (week-long/extended trips). Checks can be made payable to On The Loose Expeditions, Inc. When we receive your deposit, we will send you a helpful trip information packet. To complete your registration, full payment is due 60 days before departure, otherwise we may consider the reservation cancelled.

What is NOT included? Airfare from your home to point of origin, some meals (if noted), passport & visa fees, airport taxes, gratuities for guides, personal gear, any medical treatment, immunizations, evacuation, and other items of a personal nature while on the trip. Expenses outside of trip dates are not included.

Cancellation and refunds: If you must cancel your trip, the following refunds will apply, based on the date we receive notification of your cancellation:

Over 90 days from departure: Full refund.
60-90 days prior to departure: Full refund less deposit.
30-59 days: 50% of trip price refunded.
0-29 days: no refund.

Should you cancel, you may choose to apply your deposit toward another trip within one year of the trip start date. On rare occasions, On The Loose Expeditions, Inc. must cancel a trip. Outside of political or environmental disaster beyond our control, we will cancel no less than 30 days prior to departure, and a full refund will be provided. OTL is not responsible for personal expenses incurred in preparation.

Trip cancellation insurance: We strongly encourage you to purchase trip cancellation insurance as part of your planning. Ask us or any travel agent about insurance providers that offer these simple policies. In the past, our clients have used Access America at #800-284-8300. This low cost insurance protects all deposits and payments should you have to cancel your trip due to personal or family illness. Baggage and accident insurance is also available. A reminder: If you have purchased airfare, make sure to cover this cost in your trip cancellation insurance.

Revised Weekend Policies

To better accommodate late weekend bookings, we have revised our weekend registration policy; however, we encourage you to book as soon as possible to guarantee your space in the trip.

Registration: Registration must be completed, with payment in full, by 2 weeks (14 days) prior to start date. If we do not receive your full payment by this date, we will assume your reservation is cancelled, and we transfer your spot to other interested clients. We will hold your deposit for application to a future trip with On The Loose.

Deposits: Deposits are due at least one month (30 days) prior of trip start date. If a trip is still available after one month prior, we will accept your registration and deposit immediately due.

Cancellation and Refunds: If you must cancel your trip, the following refunds will apply, based on the date prior to departure we receive notification of your cancellation:

Over 60 days: Full refund.
30-60 days: Full refund less deposit.
14-29 days: 50% of trip price refunded less deposit
0-13 days: No Refund.

Should you cancel your trip, you may choose to apply your deposit toward another trip within one year of the trip start date. On occasion, On The Loose Expeditions, Inc. must cancel a trip. Outside of political or environmental disaster beyond our control, we will cancel no less than 2 weeks (14 days) prior to departure, and a full refund will be provided. OTL is not responsible for personal expenses incurred in preparation.
